What a joining kit is for
A joining kit does three jobs. It tells the new hire that someone expected them, it puts working tools on their desk before they have to ask, and it gives them something with the company name on it to carry home. If a kit does not do at least the first two, it is a giveaway, not a welcome.
HR teams usually get this wrong in one of two ways. Either the kit is a single token item that feels like an afterthought, or it is a heavy box of things nobody uses. The kits below sit between the two. Each item earns its place by being used in the first week.
Four kits by budget band
| Kit | Best for | What is in it | Starting price per kit |
|---|---|---|---|
| Starter | Interns, trainees, high-volume joiners | Metal pen (Rs22), notebook (Rs84), mobile stand (Rs15) | About Rs121 |
| Standard | Most new employees | Canvas bag (Rs38), notebook (Rs84), metal pen (Rs22), gym shaker (Rs100), mobile stand (Rs15) | About Rs259 |
| Premium | Managers and specialist hires | Canvas bag (Rs38), gym shaker (Rs100), table clock (Rs111), notebook (Rs84), metal pen (Rs22), wooden desk item (Rs90) | About Rs445 |
| Leadership | Senior hires and key joiners | Gift set with diary (Rs238), luxury silverware gift (Rs699), canvas bag (Rs38) | About Rs975 |
Starter kit: about Rs121
Three things a person writes with, reads from and props up. A premium metal pen from Rs22, a notebook or diary from Rs84 and a plastic mobile stand from Rs15. It suits bulk campus intake and trainee batches where the budget per head is tight. The Premium Metal Pen, MPI 3227 is Rs22 and the Diary Notebook, MPAP 020 is a typical notebook pick. Pick the pen first: it is the item most likely to still be on the desk a year later.
Standard kit: about Rs259
This is the kit most companies should start with. It adds a canvas bag, which gives the new hire something to carry the rest in, and a bottle. The bag is Rs38 from the Canvas Bags, SB-10001. The bottle in this kit is the Gym Shaker, MI 0006 at Rs100. People take a bag and a bottle to the gym, the commute and weekend errands, which means your logo travels well beyond the office.
Premium kit: about Rs445
For managers and specialist hires, add something that stays on the desk. A table clock from Rs111 and a wooden desktop item from Rs90 are quiet, useful and rarely thrown away. The Table Clock, PC 0650 is Rs111. Desk objects keep the logo in front of the person every working day, which is why this band is built around them.
Leadership kit: about Rs975
Senior joiners notice quality more than quantity, so this kit has fewer items. A ready-made Gift Set with Diary, MPAP 353 at Rs238, a piece of luxury silverware from Rs699 and a canvas bag. Silverware is the one category here that starts above Rs500, so use it only where the seniority justifies it. Pair it with a handwritten note from the hiring manager, which costs nothing and matters more than the gift.

What to put in, and what to leave out
- Put in what is used daily. Pen, notebook, bottle, bag, a desk clock. If you cannot picture the person using it on a Tuesday, drop it.
- Put in a card from a human. A printed welcome note signed by the manager or founder, written by your own team, turns a bundle of items into a welcome.
- Leave out anything that needs setup. Items that need charging, pairing or an account create friction on a day that already has laptops, logins and forms.
- Leave out filler. Five cheap items feel worse than three good ones. Cut the count before you cut the quality.
- Leave out anything you have not seen. Order a sample piece before you commit a batch, especially for the Premium and Leadership kits.

Branding the kit
Branding is done in-house at GiftBulk, and a proof is sent for your approval before production starts. Send the logo as a vector file where you have one (AI, CDR, EPS, PDF or SVG), or a high-resolution PNG at 300 dpi. A flat, single-colour version of the logo prints cleanly on almost every surface; gradients and fine taglines often do not.
Keep the logo modest. A new hire will use a notebook with a small logo in one corner. They will leave a notebook with a giant logo and a slogan in a drawer. Use the same artwork across the whole kit so the items look like a set, and keep it consistent from batch to batch so your next quarter of joiners gets the same thing.
Ordering and lead times
Branded orders take 5 to 7 working days from artwork approval, then 2 to 5 days in transit. Ready stock dispatches in 24 to 48 hours from payment confirmation. The clock starts at approval, not at your first message, so a slow proof round is the usual reason a kit arrives late. For a first batch, allow about three weeks before the earliest joining date, and cut that to two weeks once you have approved artwork on file for repeat orders.
How to order a joining kit for a batch of new employees
About 60 minutes
- 01
Confirm headcount and joining dates
Count confirmed joiners for the next one to three months, and note the earliest joining date. Add a small buffer of two or three kits for late joiners and replacements.
- 02
Choose the kit band
Match the band to the role. Many companies use Standard for most hires and Premium or Leadership only for managers and senior joiners.
- 03
Enter your quantity on each product page
The per-unit price for your quantity shows when you enter it. Add the items to your cart or send the list through the quote form for a mixed order.
- 04
Send artwork and approve the proof
Upload your logo and approve the proof in writing. The 5 to 7 working days begin from this approval.
- 05
Plan for transit and storage
Allow 2 to 5 days in transit. Have the kits delivered to one HR address and assemble there, or ask about delivery to several offices if your joiners are spread across cities.
- 06
Place a kit on the desk before day one
Set the kit up with a welcome note on the desk or courier it ahead for remote joiners, so it is waiting when they log in.
What a kit order costs in total
Per-unit price times quantity gives the subtotal. Shipping is read off that subtotal before GST: Rs250 up to Rs5,000, Rs150 up to Rs10,000 and free above Rs10,000. Then 18 percent GST is added on the subtotal plus shipping, and a GST invoice is issued with every order. Per-unit rates fall as quantity rises, by 6 percent at 15 pieces, 11 percent at 25, 16 percent at 50 and 22 percent at 100.
A first order of Rs3,000 or more before GST can use the code FIRST5 for 5 percent off, up to Rs500.
